HomeMy WebLinkAboutFIN-10-095 - P10-045 Pump Motor Control Repair and Maintenance REPORT REPORT TO: Mayor Carl Zehr & Members of Council DATE OF MEETING: 2010-06-14 SUBMITTED BY; Larry Gordon, Director of Supply Services PREPARED BY: Rudy Kruppa, Buyer (2216) WARDS INVOLVED: N/A DATE OF REPORT: 2010-06-07 REPORT NO: FIN-095 SUBJECT: P10-045 - Pump & Motor Control Repair & Maintenance RECOMMENDATION: That proposal P10-045, Pump & Motor Control Repair & Maintenance, be awarded to Ibbotson Electric Limited, Waterloo, Ontario, at the unit prices proposed for one (1) year, with an option to renew for two (2) additional one-year terms. The estimated value of this contract is approximately $100,000. per year, plus G.S.T. BACKGROUND: This proposal is based on fixed unit prices on an estimated representative sampling of components used over the last year and actual spend will depend on the level of repairs and amount of maintenance activity required throughout the term of the contract. The Operations Division requires the services of a specialized contractor to perform electrical maintenance and to respond to sanitary pumping station electrical issues/alarms on an ‘on-call’ basis as required. The Corporation does not have the staff resources or specialized knowledge required to diagnose and repair the pumping station motor and system controls, including SCADA components. The annual estimated spend per year over the previous three years was $114,798. REPORT: Proposals were requested from two (2) potential bidders, as well as being advertised publicly in the Record, on the City of Kitchener website and on the Internet through the Ontario Public Buyers Electronic Tendering Information System. By the proposal closing date of Friday, April rd 23, 2010, six (6) proposals had been received. ï ·ª÷ ó ï The following proposals were received: Ibbotson Electric Limited Waterloo Millers Electric Limited Kitchener Sutherland – Schultz Ltd. Cambridge Engineered Electric Controls Ltd. Cambridge Ainsworth Inc. Toronto Duke Electric Hamilton The proposals were reviewed by C. Banks, Operations Supervisor, B. Dubrick, Operations Supervisor, and R. Kruppa, Buyer, who concur with the above recommendation. FINANCIAL IMPLICATIONS: Funding to be provided from various capital and operating accounts.
