Agenda Item: Events Strategic Plan Presentation – Don Chapman

PowerPoint presentation on past, current and future Events in Downtown
Kitchener
?
There has been 152 events in the last year that the special events unit has
worked on which accounted for 241 days of activity events downtown.

Quality of events has been very high

Established a very successful coop placement program with Conestoga
College that sees over 600 hours of event management student support
for events downtown

Dan For Mayor in progress
?
Process 12 film permits for the downtown working on 5 more
?
2 major commercial shoots last year – BMW and HONDA used the Duke
Street parking garage
?
Very successful launch of the cube last year
?
Margaret Attwood had an appearance at the Kitchener Public Library
?
Program marketing at the Kitchener Market has been expanded from 2 to
5 days a week
?
Blues Bazaar that BIA is responsible for saw some huge success and
expansion last year.
?
Launch of living earth festival was done last year.
?
Development of 156 King St as a cultural hub for emerging arts
?
Magnetic North was a great success
?
City has been asked to bid on Contact Ontario which is a project where
performing artists come to a community and are showcased over 3 days
?
Olympic torch relay celebration was very successful
?
Events has worked very closely with BIA on event development
?
Downtown Life as an example of a very collaborative event with the BIA
that has gone very well.
?
Oktoberfest initiatives will be next on the list
?
Sharing of information between the BIA and Events Committee.
?
BIA has invited Events to sit on the BIA event committee which will be a
great venue to share information and discuss plans and come up with
opportunities
?
four buckets have been identified that need to be worked on for the
Special Events Committee and they are:
?
1. what work should the unit do
?
2. how do we decide which projects
?
3. how do we work better
?
4. how do we measure success
?
Current event portfolio will be maintained
?
Events committee to work with Cory and Rod and Mark to develop an
evaluation tool so they can assess the success of the events.
?
They are going to come up with a mandate that is clear, focused and
understood.
?
There is to be an increased partnership with the BIA with events
committee and operations crews as per Rod Regier.

Agenda Item: Retail Attraction and Retention Presentation – Erin Young

Michael Berne (the consultant hired by the BIA) to be back July 12 for
ongoing development of the program.

Erin and Mark to head to Toronto for Retail Vitalization Summit Meeting for

the next two days (June 16 and 17)
?
The presentation done at last board meeting on retail attraction strategy –
this presentation was also done to DAC, EDAC and as well counsel and
downtown owners consortium – also meeting with as many stakeholders
as possible – the goal is to get communication out that BIA is point of
contact for retail attraction
?
Continuing to build prospects list. Still need to visit London and Guelph
?
Some businesses are looking to relocate to King Street from the off streets
– Erin is working closely with them.
?
Visual Merchandiser – Jessica Ferguson – is working on a volunteer basis
for us – she is working with members downtown and assisting with the
wheel barrow promotion
?
Meets weekly with Kim Feere from City of Kitchener for updates on the
progress being made.
?
Erin is now working with Chris Ferrell of the Small Business Centre in
helping get small businesses started downtown Kitchener.

Rod mentioned that they are just about ready to issue the RFP for the Just
Between Us Space we are just waiting for one piece of data.

Charles and Benton parking retail space to be up in late September –

Courthouse – they are in progress now – hold is dug

Tannery – many recent developments taking place
?
Kitchener Market – Mayor Zehr spoke to his cooking event – marketing of
Kitchener market is in full swing – new look and feel on the website

City wants to work with BIA in marketing the Kitchener Market
?
Centre Block – model suite – they are awaiting traffic engineer reports
which should be ready next week then they can look at site plan and start
moving forward.

Plan was for model suite to start end of July or first week of August.
?

It was brought up at DIRG by Mark Garner to understand how we intend to
clean the downtown core – have not heard back from downtown
operations.

machinery doesn’t clean downtown effective enough and we need to look
at a branded downtown sweep team for the downtown core

downtown should be scrubbed twice a month
?
businesses are encouraged to clean their front areas
?
patios – great success – BIA worked diligently to install all the planters
?
great response from fencing downtown patios
?
Silver Spoon and Kings Cookery applying for patio for next year
?
construction-update passed out – we are further ahead – now into next
phase of construction

Graffiti updates – ongoing project – worked with downtown ambassadors
getting graffiti removed within first 24 hours
?
Downtown Vitality-music on lunch hours and after work Thursdays and
Fridays – we are trying to drive vitality downtown - try to drive vitality
?
Downtown Ambassadors are in full swing – team is doing a great job –
they are still getting some safety training through WRPS – we have a good
team this year
?
APP cleaning – we still be doing it this year – also working with the on a
cleaning strategy for this year and what we should be doing to maintain
the space
?
Halls lane project – still waiting to hear back from the team – have had
conversation with engineering dept with where they are at.
?
Arts Awards – did engage with that strategic partner – had great success
with this.
?
Arena Aud presentation to council update – they have had 1000 people on
a list looking for seats – Rangers want to put a shell over the existing
building.

research on bringing an arena downtown
