Event dates are being input into a calendar as information becomes available. The info is then distributed to the membership, available on our website and on social media websites. Oktoberfest downtown experience : ? Wrap up meetings took place for the partners of the Oktoberfest Downtown experience as well as with specific events ? Wrap up meetings that will take place are with BIA and GTA ? Positive feedback from Membership, KWO, and partners ? Next meeting for Oktoberfest 2011 will take place in January 2011 Downtown Kitchener BIA Gift Certificates: ? The gift certificates are currently being signed and prepared for the th November 20 launch date. We are expecting to put $70,000.00 into the local economy. ? Marketing includes: The Record, Kitchener Citizen, Signage for A-frames, Posters and Live to Air ? Gift certificates will launch after the Santa Claus Parade and the bonus days will be the week following. Random Acts of Kindness: ? Downtown Kitchener BIA event team was outside promoting this event ? Add was put in the record as well Trios Presentations: ? Three separate presentations were given at Trios College to let students know about Downtown Kitchener, what BIA is, and what we offer to the community Other: ? Holiday cards have been created by the Event Team and will be delivered to members and partners in the next week ? BIA has met with our partners/stakeholders in the community and is looking to bundle upcoming holiday events/promotions under one umbrella and cross promote. ? Hagon Design has presented a number of concepts for our Marketing Materials and we have begun the final design phase of that project. ? Planning the High Impact Retail Seminar to take place in Downtown rd Kitchener Feb 2011 – this is the 3 annual event partnering with the Uptown BIA, Downtown BIA and Small Business Centre ? Building a library of resources and materials in the office to assist members ? Christmas decorations are up – thanks to BIA for their contributions in decoration funds ? A package is being put together call 35 ways to get into winter showing shows and festivals taking place ? Second Look Books façade is up – looks great ? Patios – Trudy Cory and Sandy are meeting with folks who opened patios this past summer to see what went well and could be done better. ? Agenda Item: ______ Executive Director Update – Mark Garner ? Garbage on King Street – Letter distributed to the entire membership on the use of the Molok’s (deep garbage collection) and back lane bins for those businesses who have access. The objective is to get as much garbage off King Street as possible and for those putting garbage on King Street ensure the Molok’s are used accordingly. We will continue to follow up on the exception items as they arise. Christmas decorations – As per the last ED update, Economic Development and Downtown BIA looked at various alternatives to address the lighting issues and it ultimately came down to budget availability for the BIA to purchase some of the new decorations for the newly constructed end of King Street. Budget did allow for the purchase of $20,000.00. The BIA executive committee did meet and approve the staff recommendation to purchase the additional blue lights, which helped address urgency and th the time sensitivity to have them installed on or about Nov 20. We have also discussed with Economic Development the budgeted monies which they will be put forward for 2011 for such things as Banners, Christmas Decorations, Benches and Bike Racks etc, and the BIA will look at supplementing these expenditures as part of the 2011 Strategic Plan and budget process. King Street Parking – Based on construction being completed and patio ? season closed out, the teams are in the process of opening the parking spaces back up as a priority. We currently have a bollard plate limitation which is slowing the opening of the spaces; however a plan is in motion to get the parking open in the coming weeks. Additionally, request has been made from one of the members to close 2 or 3 parking spaces in the west end to accommodate the volume of pedestrian traffic on Thursday, Friday and Saturdays. The request will be reviewed to understand the implications and a recommendation brought forward. ? Arena / Kitchener AUD committee – Meetings are ongoing as we work the Phase 1 process, Keith Baulk did present to council the request for an outside consultant to engage as part of the project. Council approved the expenditure and consultant is proceeding. The most current phase 1 plan has been provided to board for review and comment. ? Board Insurance – is coming due in December, the insurance provider has been instructed to go to tender and submit at least (3) quotes for review. Quotes will be reviewed in the coming weeks and best pricing determined, whilst ensuring the coverage/policy doesn’t change. ? Strategic Plan – pulling together various budget input items for review, looking at the organizational structure and what is needed to take the BIA to the next level, conducting meetings with key City Partners (Economic Development, Events, CAO, communications etc.) on potential plans and directions for 2011. This will provide the input required for the Board of Directors and Staff to complete the Strategic plan. Lease: The Downtown BIA will enter into month to month lease with the Delta Hotel until such time as the Delta strategic plan is complete and the BIA plan complete. Staff is looking at other locations in the core which would fulfill our needs and prepare accordingly should a move be required. ? Report to Clerks Office –a Downtown BIA Board report is due to the City Clerks office as part of the municipal act requirements for BIA’s.
