MINUTES OF BOARD OF TRUSTEES
MEETING FOR
KITCHENER PUBLIC LIBRARY BOARD
The Regular Board Meeting of the Kitchener Public Library Board was called to
order at 7:05 p.m. on Wednesday, Apri120, 2011, by Chair, Mr. Dan Carli, in the
Caucus Room at Citv Hall.

REPORT OF OFFICERS
(a) Report of the Chair
Updates
Networking Opportunity
The Chair thanked Mr. David Sterritt, Mr. Wayne Buchholtz, Mr. Bruce MacNeil,
Mr. Mike Farwell, as well as both Councillors and KPL staff for participating in
the networking event at the Mayor's State of the City Address on Thursday,
March 31. Mr. Dan Carli also thanked Ms. Jennifer Ball for introducing KPL's
Writer-in-Residence, Mr. Ken Oppel, at the Country Hills Community Library in
March.
Uacomin~ Net~Torkin~ Opportunity -Donor & Volunteer Reco~nihon Event
Invitations to KPL's annual "Celebratio~i of T1inr~ks" were handed out at the
meeting. Board members were encouraged to attend this event on Thursday,
May 19 at the Victoria Park Pavilion which recognizes KPL donors and
volunteers.
Service Recognition
On behalf of the Library Board, the Chair congratulated Councillor Berry
Vrbanovic for 15 years of service with the Kitchener Public Library Board.
Mr. Dan Carli provided a quick summary of significant milestones in KPL's
history which Councillor Vrbanovic would have witnessed since joining the
Library Board in Apri11996. These included:
- The end of the bookmobile service
The opening of the Grand River Stanley Park Community Library
The opening of the Country Hills Conurlunity Library

- The approval of the central library business case and ultimately the ground
breaking for the central library renovation and expansion, and,
- 15 annual budgets and capital forecasts.
To mark the occasion and thank Councillor Berry Vrbanovic for his years of
advocacy and support of the library's services in the conunuiuty, a framed
collage highlighting some of the library events in which he participated was
presented.
Councillor Berry Vrbanovic thanked the Library Board for recognizing his years
of service with the Library Board and for the opportuiuty to be involved with the
library during the past 15 years.
(b) Facilities Plaiuling & Building Conunittee
Updates
Central Library
Mr. Mike Farwell noted that the bulk excavation for the underground parking
garage continues. A one-day closure is anticipated for sanitary and water
connections on Ahrens Street.
Ms. Sonia Lewis noted that the central library project is anticipated to take longer
than originally projected due to its complexity. Details are currently being
worked out with the contractor.
(c) Finance Conunittee
Revised Tanuarv and Februarv 2011 Balance Sheets
As noted in the March Library Board minutes, the January and February 2011
Balance Sheets were amended, as discussed.

was RESOLVED to accept the amended January and February 2011 Financial
Statements, as printed.

RESOLVED to accept the 2010 Audited Financial Statements, as printed.

(d) Fundraising Committee
Updates
Mr. Wayne Buchholtz was pleased to report that the fundraising campaign has
achieved 42.5 % of its goal.
Arrangements will be made with Campaign Coaches to provide training at the
June Board meeting to help Trustees with their role in the fundraising campaign.
Areas to be covered at the training session were outlined at the meeting with
input from the Board.
(e) Report of the Secretary-Treasurer and CEO
Updates
In recognition of National Volunteer week, Apri110 -16, Ms. Sonia Lewis
thanked the KPL Board and other volunteers for their continued efforts. Ms.
Sonia Lewis also provided a breakdown of where the 481 KPL volunteers
contributed their tinge in the librar~s system during the year 2010.
Professional Development Da`r
Ms. Sonia Lewis confirmed that all locations of KPL will be closed Thursday,
October 27, for KPL's Professional Development Day.
Next Month's Board Meeting
The Board was reminded that the May Board meeting is scheduled at the Pioneer
Park Conunuiuty Library, with a tour commencing at 7:00 pm.
Public Service Statistics
The impact on statistics at the Main Library due to construction was noted. The
impact on gate count due to the installation of RFID gates at the Country Hills,
Grand River and Forest Heights Conununity Libraries is under investigation.
Data in the Public Service Report marked with a double asterisk is under review
with an accompanying footnote provided on the last page.

7. II. NEW BUSINESS

8. III. PRESENTATIONS
(a) Report of Councillors
Councillor Berry Vrbanovic noted that Councillor Kelly Galloway was currently
representing Kitchene~'s Mayor in Tanzania, Africa.
City Councillors in Kitchener unanimously endorsed car-free Sundays from the
civic square in front of Kitchener City Hall to the public square in Waterloo.
Four car free Sunday events, called Square to Square, have been embraced to
turn a 2.7-kilometre length of King Street into apedestrian-only zone. As the
business conuiiunity becomes involved in the events along the route, Councillor
Berry Vrbanovic suggested the library also consider participating. City staff in
Kitchener are to report on the proposal for car-free Sundays by the end of the
month.
The City of Kitchener is in the process of preparing a new trails master plan
with alternatives to be discussed on Mav 3.
At the Council meeting on Monday, Apri118, a strategic planning session was
held to allow discussion on various strategic initiatives and directions being
taken by the City.
The Environics Research Group reviewed results of the 2009 - 2010 survey.
Councillor Vrbanovic suggested that this information, as related to the library,
be presented to the Library Board at a future meeting.
Staff will present the strategic directions and priorities in May. A 4-year
Business Plan will be presented to Council in September.
Earth Day events will be held on Saturday, Apri123 at the Huron Natural Park
Area from 1:00 to 4:00 pm. There will be crafts for children, tree planting and
displays.
A vote mob is also planned for 3:00 pm at the Clock Tower on Saturday, April
23, in an attempt to encourage the public to vote.
