HomeMy WebLinkAboutCSD-11-083 - Downtown Kitchener Ribfest & Craft Beer Show Agreement1 KITCx~i~~R Staff Re ort p Camrn unity Services Departm ent ~w.k~~~~~r~erca REPORT T0: Community & Infrastructure Services Committee DATE OF MEETING: June 20, 2011 SUBMITTED BY: Keith Baulk, Director of Enterprise, 2393 PREPARED BY: Jeff Young, Manager of Special Events, 2388 WARD(S) INVOLVED: N/A DATE OF REPORT: June 8, 2011 REPORT NO.: CSD-11-083 SUBJECT: DOWNTOWN KITCHENER RIBFEST & CRAFT BEER SHOW AGREEMENT RECOMMENDATION: That the Corporation of the City of Kitchener enter into an Agreement with the Impact Events Group Inc. for the purposes of hosting the Downtown Kitchener Ribfest & Craft Beer Show for 2011; and further, That the Deputy CAO of Community Services Department be authorized to execute an agreement with the host of the downtown Kitchener Ribfest & Craft Beer Show each year, on terms agreeable to the Deputy CAO of Community Services Department; said Agreement to be to the satisfaction of the City Solicitor. BACKGROUND: The Downtown Kitchener Ribfest and Craft Beer Show has been held in Victoria Park since 2004 and features professional rib and chicken BBQ teams and craft breweries from around North America. It is aself-sufficient for profit event operated by a 3rd party promoter. The event also features a small stage with local entertainment and a child focused midway. The event, scheduled to run July 15 - 17, 2011 attracts several thousand people over the three days of operation. The event has been become extremely successful especially in terms of attendance and following the 2010 event, the Victoria Park Working Group identified a number of issues they felt needed to be addressed. The event promoter developed a plan to address all the issues and tabled the plan with the working group who supported the actions that were proposed. REPORT: The previous agreement with the event promoter (Impact Events Group Inc.) has expired and staff are proposing the City enter into cone-year agreement with the potential to renew the agreement annually at the discretion of the Deputy CAO of the Community Services Department. 2-1 1 Staff Report Krr~.~-~~,i~iER CommunityServicesDepartment www.kitthenerta The event organizer is responsible for all costs incurred by the city. City chargeback services include: City staff and city equipment to set up the event, maintain the site, monitor the event, road closures, and post event clean-up andlor repairs to damaged turf. ALIGNMENT WITH CITY OF KITCHENER STRATEGIC PLAN: The agreement with the event organizer will help achieve two community priorities: Development, and Dynamic Downtown. The event brings in thousands of people to Victoria Park and downtown Kitchener and provides activities for the entire family. Section 5 of Development indicates urban vitality. Section 1 of Dynamic Downtown states "That the city continue to implement the Downtown Strategic Plan which outlines the vision and strategy for the revitalization with an emphasis on attracting more people into the core. FINANCIAL IMPLICATIONS: None as all City related expenses for this festival are billed back to the event organizer. COMMUNITY ENGAGEMENT: The event promoter has received a copy of this report. The issues that have been brought forward by the Victoria Park Working Group have been addressed in a plan. It will be the responsibility of the event promoter to deliver on the commitments in the plan. There will be a post event evaluation involving the Victoria Park Working Group to ensure their issues were resolved prior to extending the agreement for any future year(s).
