Approval of Minutes ? The minutes from January 18th were approved. Moved by Sue Morgan, Second by Holly Duff. 2. Advisory Committee Gathering The Advisory Committee Gathering has been scheduled for March 31st, 9:30-11:30, at the WLU School ? of Social Work, main Auditorium. The agenda will consist of an update from committees on how they have connected since the last gathering, an overview on the updated strategic plan, as well as information on the Report Card and process surrounding this report back to council on the corporation’s accomplishments over the year. 3. Strategic Plan Update Council would have received this package this morning and will be receiving a presentation on Monday, ? February 6 from Theron and Shelley. A message from Compass Kitchener was drafted by Theron for inclusion on behalf of the committee. Shelley reviewed the document providing a brief description of each area, and highlighting some of the ? edits that have taken place since last meeting. Unfortunately the diagrams were not prepare in time for this meeting, however the communications team ? is working to develop a diagram that will clearly explain the Healthy Communities Model and where the drivers fit within this model. The document itself will seem as though it’s written in pencil, to show its ongoing development and demonstrate the continuous contributions from all to ‘draw the solid lines’. To keep inline with the cities green focus, very few copies will be printed, and much of the sharing will ? take place via the city website and through social media. A suggestion was made to include links to chat space or social media for discussion of the strategic plan, throughout the online strategic plan document, since there will already be links to reports and projects housed elsewhere on the website. Dashboard reporting is a future step for the organization and will be useful for the Report Card and the ? movement taking place with the strategic plan. The Region currently has a similar system in place, which is available for viewing on their website. Chris H added that Whistler also has a version available for review on their website. The Report Card is from the view point of residents, where as dashboard reporting is developed by staff ? and comprises what has been accomplished by the organization. A question was asked, does the report card process look at impact or change as a result of the work of the organization? The group agreed, the report card could draw in areas of impact resulting from the work the organization has completed. Further, it would be beneficial to look at an overview of all results in a graph over 4 years, as year by year change may seem minimal. Shelley and Theron will be presenting to Council Monday evening. Everyone is welcome to attend in ? support of the community area of the strategic plan. January 18, 2011 CITY OF KITCHENER - 2 - 4. Work Plan small group discussion and report back ? The groups broke out into sub committees for further discussion, and reported back on progress. Summaries attached. Report Card group discussed the process that will be used for the ACG, as well as continued to work on the indicators, with a plan to get together again in 2 weeks to continue this process. ? Civic101 group has split into two concurrent projects – one for grade 10’s with Holly chairing, and one for grade 5’s with James chairing. Both groups will be tapping into personal contacts. Each group has some specific items they will be moving forward with, and tools that could be provided to schools to encourage engagement. ? Voter Turn out group shared much information today, follow up had taken place with Randy Gosse, and learned what has happened since the 2007 report. The group has come to understand internet voting in a new light, as well as many other logistics for, and organization of, voting. Ultimately, engaging people is the best way to get them to vote. Group plans to connect with Bob Williams, professor at WLU. Shelley and Theron will also be meeting with a student in Economic Development who will be spending some time on this topic. 5. General Business The next Employee Culture Survey is about to take place, and the city will be adding a piece this time ? around – a work force census. More to come here, this is an exciting step for the organization. Meeting adjourned at 6:05pm.
