KITCHENER PUBLIC LIBRARY MEETING FOR
KITCHENER PUBLIC LIBRARY BOARD
1. CALL TO ORDER
The Regular Board Meeting of the Kitchener Public Library Board was called to
order at 7:05 p.m. on Wednesday, May 16, 2012, by the Chair, Mr. Dan Carli, in
the Caucus Room at City Hall.

Mike Farwell, Councillor Kelly Galloway, Ms. Lynn Gazzola, Ms. Jacqueline

Ms. Sonia Lewis, Secretary-Treasurer and Chief Executive Officer.

Ms. Lesa Balch, Ms. Sabina Franzen, Ms. Ann Wood, Ms. Gloria Grigas.

2. AGENDA REVIEW
12-30... On motion by Mr. Tim Blundon and seconded by Mr. Mike Farwell, it was
RESOLVED that the Agenda be adopted.
CARRIED
There were no pecuniary /conflict of interest declarations.

3. BOARD TRAINING PRESENTATION -Why KPL Matters
The Chair welcomed Ms. Sharron Smith, Manager of KPL's Readers' Advisory
Services and Ms. Chris Schnarr, Manager of KPL's Grand River Stanley Park
Community Library.
Ms. Sharron Smith explained Why KPL Matters by explaining how KPL enriches
lives through the library's support of reading.
[Ms. Lynn Gazzola joined the meeting.]
Ms. Chris Schnarr explained Why KPL Matters by explaining how KPL has
embraced technology, thereby leveling the playing field.
A question and answer session followed.
Other libraries and SOLS have asked for permission to use KPL's download
instructions for e-books that staff prepared and posted on our website. Ms. Sonia
Lewis complimented staff for their efforts.
Mr. Carli thanked Ms. Sharron Smith and Ms. Chris Schnarr for a very
informative presentation.
The Board agreed that the training session provided by KPL staff was very
useful. The information will be available to Board members if requested.
A guest speaker from SOLS will be presenting at the June Board meeting.
4. MINUTES of the Board Meeting of Apri118, 2012.
12-31... On motion by Ms. Jennifer Ball and seconded by Councillor Kelly Galloway, it
was RESOLVED that the Minutes of the Board Meeting of Apri118, 2012, be
adopted.

5. BUSINESS ARISING
Ms. Sonia Lewis noted that a letter had been sent from the Library Board to
various Members of Parliament concerning the service impact of budget cuts to
the Community Access Program (CAP) funding, as requested at the April Board
meeting.

6. I. BUSINESS
REPORT OF OFFICERS
(a) Report of the Chair
Updates
In the next few days Mr. Dan Carli will be emailing an update to all City
Councillors, along with some photos of the central library construction and a
copy of KPL's 2011 Annual Report.
The Board agreed to contact each Councillor as a follow up to the Chair's email,
and then contact their Councillor again as budget discussions at the City
resumed.
Donor & Volunteer Recognition Event
Mr. Dan Carli reminded the Board of the opportunity to meet and socialize with
KPL donors & volunteers at KPL's event on June 14 at 7:00 pm at the Victoria
Park Pavilion.
City of Kitchener's 100th Anniversary Kick off Event
As outlined in the information provided in the Board package, downtown
Kitchener will become the central point for the official kick off of the Celebration
of Cityhood on Sunday, June 10, 2012, beginning at 12 noon and continuing until
5 pm. The Board was encouraged to wear their "evolve. literally" t-shirts, if able to
attend.
To further celebrate this milestone, Councillor Kelly Galloway identified an
upcoming centennial event planned for July 15 in an attempt to break the record
currently set for the World's Longest Picnic.
(b) Facilities Planning & Building Committee
Central LibrareT~ject Update
Mr. Mike Farwell reported that the new central library structural concrete has
been completed and the final roof slab on the new addition has been poured. All
the new mechanical equipment has been delivered on site. The curtainwall
installation will begin on the second floor of the new addition. The structural
steel tie in between the new and existing building continues.

Apri12012 Financial Statements
12-32 ... On motion by Ms. Lynn Gazzola and seconded by Mr. Wayne Buchholtz, it was
RESOLVED to accept the Apri12012 Financial Statement, as printed.

(d) Fundraising ad hoc Committee
Updates
Mr. Tim Blundon reported that the Community Campaign Plan for late 2012 was
presented at the Fundraising Committee meeting on May 8. The timelines were
outlined to the Board.
An update of total gifts and pledges was also provided.
(e) Report of the Secretary-Treasurer and CEO
Updates
The KPL Foundation met for its Annual General Meeting on May 9. The central
library project continues to remain the Foundation s focus.
KPL's 2011 Annual Report
A copy of the 2011 Annual Report was provided in the Board package. A copy is
also listed on the library's website.
Incident Report
Ms. Sonia Lewis provided an overview of incidents in the first quarter of 2012.
No significant incidents were reported.
Recognition of Service
Ms. Sonia Lewis recognized Ms. Lynn Gazzola for her 5 years of service with the
Library Board and presented her with a KPL volunteer award.
Mr. Mike Farwell and Ms. Lynn Gazzola were also recognized with a provincial
award for their 5 years of volunteer service.

7. II. NEW BUSINESS
None.
8. III. PRESENTATIONS
(a) Report of Councillors
Councillor Kelly Galloway reported that the City will be announcing the name
of its new CAO by the end of next week.
The Councillors approved the Multi-use Pathways and Trails Master Plan as
presented at the Community and Infrastructure Services Committee meeting on
May 7, 2012.
The projected budget guideline increase and cuts by Council were noted by
Councillor Kelly Galloway.
Online voting for the colour facade of the Ontario & Duke Parking Garage is
now available on the City's website.
Free WiFi access will be installed in a number of City facilities this year.
Reminder
Mr. Carli asked the Board to please notify us if unable to attend the June Board
meeting.
Ms. Sonia Lewis also reminded the Public Service & Policy Committee members
of their meeting at Main on June 5 at 6:30 pm.
9. ADTOURNMENT
12-33 ... There being no further business, on motion by Mr. Mike Farwell, it was
RESOLVED to adjourn the meeting at 8:00 p.m.
