COMPASS KITCHENER MINUTES
April 2, 2014 – 4:00-6:00

Theron welcomed all to the meeting.
1. Review and Approval of Minutes
The minutes from March 4, 2014 were approved by Compass Kitchener.
2. Follow-up to minutes
None at this time.
3. Subcommittee Reports

Civics101 subcommittee met April 1 to consider opportunities for moving forward with expansion of the program.
The Region has a similar program, and they are considering the possibility of working together to expand. Next

meeting is scheduled for April 8 with the Region.
Voter Turn out subcommittee is considering undertaking outreach activities in October, targeting seniors, youth and
multicultural groups. They are unsure about moving forward if a Provincial election is called. Positive reponse has
been received from the Mayors Advisory Committee for Kitchener Seniors (MACKS) and as such, they are
considering setting up an event like the Mayor’s debate for seniors. Mark Hildebrand added Youth Services is
considering a program titled ‘Apathy is Boring’, however given the costs, this may not be feasible for 2014.
4. Your Kitchener. Your Say!
Laurie provided an update on the status of our community engagement process, officially titled ‘Your Kitchener. Your
Say!’
The workbook questions are undergoing their final review and will be finalized shortly.
She reviewed the colours and marketing materials for these sessions, planned out over a 6 week period of time
running from mid April to the end of May. Each week will focus on one of the 6 priority areas, with additional
opportunities to provide input on all priority areas.
Council has the opportunity to attend these sessions as well, providing a brief introduction to the session, and
observing residents participation, however it has been suggested that they participate outside of their ward in
consideration of the upcoming election and potential conflicts that may arise as a result of this.
Open House format will include Saturdays at the Market, Thursdays in the Rotunda and 5-7 pm before community
workshops. This will include information displays – one for each theme, Environics results, the Role of the city vs.
the Region and Province, existing strategies and fast facts. Online engagement options will be available onsite as
well as workbooks for residents to take home and return to us if they so desire.
The agenda for workshop events will consist of welcome and introduction, short presentation on background
information, large group discussion starter, themed table discussions using discussion questions. Residents will
rotate tables after 30 minutes to building on their fellow participants ideas, finishing with a one minute report on key
ideas and the question – what ‘one thing’ you would like to see the city take action on? Residents will be thanked
for their participation, provided with info on next steps and asked to provide workshop evaluation.
Laurie showed a short clip she developed that could be used to introduce each of the priority areas for those who
wish to provide feedback outside of the facilitated session. Compass Kitchener thought this was a great idea and
further supported the idea of using Compass Kitchener members to do the voices for these clips.
She provided an exhaustive listing of campaign and event promotions that may be used including our web page,
calendar of events, media release, brochures, invitations, tickets, newspaper advertisements, radio advertisements,
on bus advertisements, sidewalk stencils, window stickers, posters, dedicated email and phone lines, facebook and
twitter.
Jenn circulated summarized availability for members to confirm they are available. Meeting requests to be sent out.
5. Spring Advisory Committee Gathering
Jenn, Laurie and Theron to consider date for this event.
6. Report Card Review

With the use of a PowerPoint presentation, Sarah provided a brief introduction to the report card with Chris, Sarah
and Tristan providing a review, by focus area, of the summarized marks as well as themes based on the input
provided from Compass Kitchener members.
Laurie and Renee provided additional information throughout the review as to assist Compass Kitchener’s
conversation.
The committee needs to decide on method for providing grades: letter vs. dashboard as well as confirm the mark the
committee would like to provide.
Members discussed each of the priority areas and the marks that they provided, coming to a consensus on the mark
to be offered.
7. Other Business
