COMPASS KITCHENER MINUTES
June 4, 2014 – 4:00-6:00

Theron welcomed all to the meeting.
1. Review and Approval of Minutes
The minutes from April 2, 2014 were approved by Compass Kitchener.
2. Follow-up to minutes
None at this time.
3. Update on Report Card (final ratings/report to Council)
Typically the report card has been shared publically in June. In staying with these timelines, the report card for 2013
will be released just as YKYS is finishing up and will act as one last opportunity to get people involved in this
community engagement project.
The committee discussed the merits of sharing either via the Post or the Citizen and contemplated if either would
deliver to apartment buildings, ultimately deciding on the Post.
The report will go forth to committee on June 23rd. Sarah, Tristan and Chris to connect on timing preference.
Through discussion, the committee considered the reference to ‘available data’, this will be reworded in the final
version. Scores for this report card are considerably lower than past years and as such, it would be beneficial to
highlight the newly formed metrics. The committee further discussed the metrics and the strategic directions
outlined in the last Strategic Plan, and how the report card reflects accomplishments of the city accurately.
4. Update and review of Your Kitchener, Your Say! (YKYS) Strategies
Laurie provided a summary of 37 various engagement opportunities we have had with the public. She indicated the
workshops have not been overly well attended, with some cancelled due to attendance. The open houses at the
Kitchener Market have been great and we are starting to receive more online completed surveys.
The YKYS Campaign will run until June 30. There are many activities planned for the rest of the month and items
every day for the next two days. Compass Kitchener members are encouraged to participate as much as possible.
Theron thanked all members for their participation thus far. Apologies for some situations where no workshops took
place. Further, he thanked Laurie and Jenn for their incredible dedication to this project and the large amount of time
they have dedicated to spreading the word and making things happen!
5. Voter Turn out preparations for action post-provincial election
In the last meeting of this subcommittee, two focus areas were identified, outreach for voting and communications.
Scott provided additional information in each of these two areas. Janice shared the ‘If you Don’t Vote’ poster being
developed to communicate with residents. Scott shared a version of a post card sized hand out they are also
currently developing. There may be possibilities to partner with Conestoga College, and consider ongoing
engagement with the students. The subcommittee would like to identify items that students have an interest in,
receive feedback that may help influence City business, and also consider how we may advocate as the city to the
region on behalf of the students. Plans are also underway for participation in the K-W Multicultural Festival.
6. Citizen Advisory Committee Terms of Reference
The committee reviewed the proposed Terms of Reference for Citizen Advisory Committee Subcommittees.
The committee commented on annual work plans and decided the Subcommittee work and plan should be inline
with the larger committees work plan. Further they provided feedback on some of the specific language used.
Theron thanked Janice and Sarah for all the work they undertook for this project.
7. Other Business

Due to vacation times, July 2 may not be a great day to meet. Members in attendance agreed to July 9 – meeting
request to be sent out to group.

A Youth Forum meeting took place on June 25. Holly is seeking an additional Compass Kitchener member to
participate on this subcommittee. Last meeting a regional staff attended and provided information about
opportunities for grade 5 students. The subcommittee would like to further consider what can be done to engage
younger children. Further, Janice is a member of the Immigration Partnership, Belonging Group and they would like

to connect with the Region and the City’s of Kitchener and Waterloo, to further consider how new Canadians can
become more involved in community. Janice mentioned this Compass Kitchener subcommittee, and all agreed it is
important to connect regarding info sharing on local government, and further consider what information is best
shared based on their need.
Theron highlighted the need for Compass Kitchener to develop/update their work plan. He asked that each
subcommittee review work plan, consider their recent activities and update it for the next year and a half. To return
to the next meeting. Please provide information to Theron for preparation for July 9th meeting. This would likely be
taken forth to Council in September.
