Review and Approval of Minutes The minutes from September 3, 2014 were approved by Compass Kitchener. Moved by Chris, second by Tristan. 2. Follow-up to minutes  Tristin is interested in participating further with the sub committee being developed for the Neighbourhood Strategy. Chris may also be interested, however pending time commitment required. 3. All Committee Gathering  The committee discussed various options for the All Committee Gathering scheduled to take place in November. It may be an opportunity to share information on the new strategic directions, potentially use time for orientation, Recognition for those who have served as volunteers as well as sharing of information on what people have enjoyed in working on a Kitchener Advisory Committee.  Agenda to include: Strategic Planning Update, Recognition with food and networking, Committee Accomplishments, Lessons Learned, Challenges and Opportunities from those that are departing.  The following All Committee meeting which will likely take place in March could be an opportunity for committees to connect with each other on future work together.  Agenda to be circulated directly to volunteers on the committee, rather than through staff or chair. 4. Updates from Sub Committees th  Voter Turn out has been at the market once, and planning two additional visits. October 11 will be quite a busy weekend, the group considered any possible changes to the table, and agreed to keep the time frame the same, as well as the table set up. An additional person for the later shift would be helpful. With changes in this sub committee, Scott leaving and Theron’s term coming to a close, new members are welcome. th  Youth Forum will be taking place November 16. This session will be the same as past sessions, however 150 students will be participating. Holly will be finished her term with the committee, so additional members are welcome for this subcommittee as well. This committee may change in the future given that we were initially leading this and developing the forum, and now it’s becoming much smoother, so may not require as much work from Compass Kitchener. 5. Report Back on Presentation to Council This presentation went quite well. Questions received after presentation were quite thoughtful and answered  thoroughly by Theron. Laurie and Theron shared information on questions and responses provided. Thanks very much to Theron for presenting.  6. Strategic Plan Update Strategic Plan will be finalized next June. The majority of Compass Kitchener’s work is complete, but Laurie would  like to keep the committee engaged in the process. Next will be business planning and working with staff, with draft recommendations to Council March/April. With Compass Kitchener’s assistance, feedback will be requested from the public on what is developed then council will have their input. The document will be revised then finalized in June. No sub committee is necessary for this item, instead will return to the full committee.  7. Communications Sub Committee/tracking of communications methods This item to be discussed at the November meeting.  8. Other Business Laurie is beginning development of a Community Engagement Policy. She is starting to consult with staff and will  develop a policy then she would like to receive Compass Kitchener’s input on this draft policy prior to it returning to the steering committee. This will be based on the toolkit, and aim is to formalized into a policy, including items that October 1, 2014 CITY OF KITCHENER - 2 - we can be held accountable for. Ultimately this document should communicate to the public about what they can expect from the city when it comes to engagement. Document will be geared to the public. Past information on Community Engagement may be beneficial to review as well. Compass Kitchener is aware of meetings/information received from the Social Planning Council.
