CALL TO ORDER The Regular Board Meeting of the Kitchener Public Library Board was called to order at 7:00 p.m. on Wednesday, September 16, 2015, by the Chair, Mr. Wayne Buchholtz in the Board Room at Central. TRUSTEES PRESENT Ms. Katherine Andrews, Mr. Tim Blundon, Mr. Wayne Buchholtz, Ms. Michelle Dow, Mr. Cory Ernst, Ms. Jacqueline McLaren, Ms. Erin Rudland, Ms. Stephanie Tanner. Ms. Mary Chevreau, Secretary-Treasurer and Chief Executive Officer. STAFF PRESENT Ms. Lesa Balch, Ms. Sabina Franzen, Ms. Ann Wood, Ms. Gloria Grigas. REGRETS Councillor Sarah Marsh, Ms. Kelly McManus. LEAVE OF ABSENCE Councillor Kelly Galloway-Sealock. SPECIAL GUESTS Ms. Ann Andrusyszyn, Development Manager; Ms. Laura Reed, Manager 2. AGENDA REVIEW The Chair added Ms. Ann Andrusyszyn to the agenda prior to the Board Orientation. 15-64 On motion by Ms. Stephanie Tanner and seconded by Mr. Cory Ernst, it was RESOLVED that the Agenda be adopted, as amended. CARRIED Kitchener Public Library Board 2 September 16, 2015 There were no pecuniary / conflict of interest declarations. 3. CALENDAR FUNDRAISER UPDATE Ms. Ann Andrusyszyn, Development Manager for Kitchener Public Library provided an update of the Leejay Levene calendar fundraiser for the at Central. [Ms. Ann Andrusyszyn exited the meeting.] 4. BOARD ORIENTATION Why KPL Matters en Services, presented an overview of the reading clubs and programs offered for children and teens during the summer. [Ms. Jacqueline McLaren joined the meeting.] To help build relationships between the community and the librar to foster the love of reading, Kitchener Public Library participates in the annual T-D Summer Reading Club. In May and June of this year, library staff made 260 visits to Kitchener schools (10,431 students and teachers) to promote the T-D Summer Reading program. During the summer, 6,389 participated in the 256 programs that staff in the cteen services department planned and delivered to the public. A Teen Summer Challenge was also offered in which 107 participants completed 2,350 challenges. Ms. Laura Reed shared a slide show and video of the challenges and programming. Mr. Wayne Buchholtz thanked Ms. Laura Reed for her excellent presentation. 5. MINUTES of the Board Meeting of August 19, 2015. 15-65 On motion by Ms. Katherine Andrews and seconded by Ms. Jacqueline McLaren, it was RESOLVED that the Minutes of the Board Meeting of August 19, 2015, be approved. BUSINESS REPORT OF OFFICERS (a) Report of the Chair Community Engagement Survey A public survey is currently available . A copy of the link to the community engagement survey will be emailed to the Library Board, as requested by the Chair. Upcoming Events Mr. Wayne Buchholtz requested the Library Board confirm with Gloria if able to attend the following events: 1) One Book One Community (OBOC) on Wednesday, September 23 at 7:00 pm in the Theatre Emily St. John Mandel, author of Station Eleven in conversation with Edwin Outwater, Music Director of the KW Symphony. 2) Word on the Street on Saturday, September 26 from 11:00 am to 5:00 pm at Kitchener City Hall and The Kitchener Market. An email will be sent confirming location for those wishing to participate. 3) Hacienda Café Opening at Central on Monday, September 28 at 9:00 am donor, Peter Benninger, and other stakeholders. 4) Volunteer Appreciation Celebration on Thursday, October 8 from 7:00 to 8:30 pm at Central. The invitations were distributed at the meeting. October Library Board Meeting Offsite The Chair reminded the group that the Library Board meeting scheduled on October 21 will be hosted at the Country Hills Community Library. Kitchener Public Library Board 4 September 16, 2015 Library Staff Professional Development Day 15- On motion by Mr. Tim Blundon and seconded by Ms. Michelle Dow, it was RESOLVED to approve the closure of all Kitchener Public Library locations on Thursday, October 29, 2015, to host a professional development day with all its library staff. CARRIED (b) Facilities Planning & Building Committee Updates Ms. Stephanie Tanner, Chair of the Facilities Planning & Buildin Committee, provided an update. Work remains ongoing with deficiencies at Central. The anticipated completion date for the work required in the Cou the end of October. The Hacienda Café had its soft opening on Monday, August 31. The installation of the stage lighting and curtains has been completed in the Theatre. (c) Finance Committee August 2015 Financial Statement 15-67 On motion by Ms. Michelle Dow and seconded by Ms. Katherine Andrews it was RESOLVED to accept the August 2015 Financial Statement, as printed. CARRIED (d) Public Service & Policy Committee Updates No updates were noted. (e) Report of the Secretary-Treasurer and CEO Ms. Mary Chevreau noted that she attended the University of hosted at the Waterloo Regional Museum on Friday, September 11. Kitchener Public Library has had a lon standing partnership with the university. Ms. Mary Chevreau continues to meet with City Councillors, School Board representatives and various service organizations as part of her engagement to promote and support the library. Kitchener Public Library Board 5 September 16, 2015 A TV segment with Mary Chevreau and Casey Levene will run on Rogers TV at 1:00 pm, Friday, September 18, to promote the Leejay Levene calendars. new website is anticipated to launch by the end of September. Incident Report Ms. Mary Chevreau provided an update of the incidents for all lo during the period of May to August 2015. A reduction in the number of incidents reported was noted from that of the previous period. Emails distributed in Past Month No questions were noted. 8. II. NEW BUSINESS None. 9. III. PRESENTATIONS (a) Report of Councillors No Councillors were present at the meeting. 10.
