BACKGROUND: This is a Co-operative tender issued by the Waterloo Region District School Board (lead agency) on behalf of the Co-operative Purchasing Group of Waterloo Region (CPGWR). Participating agencies include: City of Kitchener, City of Cambridge, City of Waterloo, Region of Waterloo, City of Brantford, County of Brant, Grand River Conservation Authority, Waterloo Regional Police Service, Conestoga College, Wilfred Laurier University, University of Waterloo, Kitchener Public Library, Waterloo Public Library, Township of Wilmot, Waterloo Wellington Community Care Access Centre and Wellington Catholic District School Board. Fine paper is utilized throughout the organization for printing on the multi-functional devices as well as the print shop equipment. The average annual spend over the past three (3) years was $70,857. The actual spend will depend on the level of activity throughout the term of the contract. *** This information is available in accessible formats upon request. *** Please call 519-741-2345 or TTY 1-866-969-9994 for assistance. 1.iv. - 1 REPORT: Tenders were advertised publicly on Biddingo and the Internet through the Ontario Public Buyers Electronic Tendering Information System. Documents were downloaded by sixteen (16) interested parties, and by the closing date of Thursday November 5, 2015, four (4) tenders had been received. The following tenders were received: Spicers Canada ULC Kitchener ON * Ariva Mississauga ON Grand & Toy North York ON Staples Advantage Mississauga ON The price for fine paper has decreased 14% from the previous contract. The tender was reviewed by R. Witteman, Procurement Specialist (Waterloo Region District School Board) and R. Scott, Buyer (City of Kitchener) who concur with the above recommendation. ALIGNMENT WITH CITY OF KITCHENER STRATEGIC PLAN: The recommendation of this report supports the achievement of the city’s strategic vision through the delivery of core service. FINANCIAL IMPLICATIONS: Fine paper is purchased and inventoried by Communications/Marketing – Print Shop. Costs are recovered through other divisions’ operating budgets. COMMUNITY ENGAGEMENT: INFORM – This report has been posted to the City’s website with the agenda in advance of the council / committee meeting.
