MINUTES OF BOARD OF TRUSTEES MEETING FOR
KITCHENER PUBLIC LIBRARY BOARD
1. CALL TO ORDER
The Regular Board Meeting of the Kitchener Public Library Board was
called to order at 7:00 p.m. on Wednesday, November 16, 2016, by the
Chair, Mr. Wayne Buchholtz, in the Administration Boardroom at Central.
TRUSTEES PRESENT
Mr. Wayne Buchholtz, Ms. Michelle Dow, Mr. Cory Ernst, Ms. Jessica Kropf,
Ms. Erin Rudland, Ms. Stephanie Soulis.
Ms. Mary Chevreau, Secretary-Treasurer and Chief Executive Officer.
STAFF PRESENT
Ms. Lesa Balch, Ms. Penny-Lynn Fielding, Ms. Sabina Franzen, Ms. Gloria
Grigas.
LEAVE OF ABSENCE
Councillor Kelly Galloway-Sealock.
REGRETS
Ms. Katherine Andrews, Mr. Tim Blundon, Councillor Sarah Marsh; Ms.
Jacqueline McLaren.
2. AGENDA REVIEW
16-73 On motion by Ms. Stephanie Soulis and seconded by Ms. Jessica Kropf, it
was RESOLVED that the Agenda be adopted.
CARRIED
There were no pecuniary / conflict of interest declarations.

3. MINUTES of the Board Meeting of October 19, 2016.
16-74 On motion by Ms. Stephanie Soulis and seconded by Ms. Erin Rudland, it
was RESOLVED that the Minutes of the Board Meeting of October 19,
2016, be approved.

5. 1. BUSINESS
REPORT OF OFFICERS
(a) Report of the Chair
Updates
Party in the Stacks
Mr. Wayne Buchholtz commented on the success of the Party in the Stacks
on October 25, 2016. Further details will be provided by the CEO in her
report.
Staff Christmas Get Together
The Chair reminded the Board of the staff Christmas brunch on Sunday,
November 27.
Leave of Absence
16-75motion by Ms. Michelle Dow and seconded by Mr. Cory Ernst, it was
RESOLVED to authorize a leave of absence for Councillor Kelly Galloway-
Sealock up to six months, beginning October 19, 2016.

December 2016 Library Board Start Time
16- On motion by Ms. Stephanie Soulis and seconded by Ms. Erin Rudland, it
was RESOLVED to change the start time of the December 14, 2016,
Library Board meeting from 7:00 pm to 6:30 pm.

2017 Ontario Library Association (OLA) Conference
Please confirm with Gloria if interested in attending sessions offered at
the OLA conference which is scheduled from February 1 4, 2017.
(b) Facilities Planning & Building Committee
Updates
Ms. Stephanie Soulis, Chair of the Facilities Planning & Building
Committee, noted that Mr. Wayne Buchholtz, Ms. Mary Chevreau and Ms.
Penny-Lynn Fielding attended the Doon Pioneer Park Community Centre
open house on November 9, 2016.
Concerns regarding the impact that the Community Centre renovations
will have on the library have been addressed with the City. Construction
is scheduled from June 2018 to August 2018.
(c) Finance Committee
October 2016 Financial Statement
16-77 On motion by Ms. Michelle Dow and seconded by Ms. Erin Rudland , it
was RESOLVED to accept the October 2016 Financial Statement, as
printed.
CARRIED
Ms. Mary Chevreau, Ms. Sabina Franzen and Mr. Wayne Buchholtz
attended the Operating Budget meeting with the City of Kitchener on
Monday, November 14, 2016. No concerns were noted by Council
regarding Operating Budget.
The Chair commented on the excellent job by the CEO who answered
several unrelated budget questions from the Councillors during the
meeting.
(d) Public Service & Policy Committee
Updates
The final print copy of the 2017 2020 Strategic Plan will be available at
the December Library Board meeting.

(e) Report of the Secretary-Treasurer and CEO
Updates
The CEO was pleased to report that over 250 people attended the Party in
the Stacks. Approximately 33 lego 3-D heads were sold along with one
full size head.
Several sponsors helped support the event with in kind donations in the
way of food, refreshments, security, a huge monitor, digital projector and
several 3D printers. A full list of the sponsorships and supporters were
noted in the October minutes.
A new partnership with InkSmith is in the works to supply several 3D
printers to the library.
The dance video by Star Performance Dance Academy shown at the event
received great feedback. The video was played at the meeting.
The mobile green screen was very popular. Four postcards with different
choices of backdrop were provided each participant.
Ms. Mary Chevreau identified some of the changes that would be
considered in the future, should the library host another event of this
caliber.
Grand River Regional Cancer Centre
The Grand River Regional Cancer Centre has approached Kitchener Public
Library to partner with them in their library centre. Ms. Mary Chevreau
explained the in the partnership.
A proposal has been submitted to the Grand River Regional Cancer Centre
which is awaiting final approval by the Grand River Hospital Foundation.
An Evening with Author, Kathy Reichs at the Library
The CEO reminded the Board that Central hosts author and forensic
anthropologist Dr. Kathy Reichs on Tuesday, November 22 at 7 pm.
December Library Board Meeting
Ms. Mary Chevreau asked the Board to look for her email invite
requesting an RSVP if able to attend
follow the December Board meeting.

16-78 There being no further business, on motion by Ms. Michelle Dow, it was
RESOLVED to adjourn the meeting at 7:45 p.m.
