RECOMMENDATION:
That Proposal P17-003 SAP Professional Services Roster, be awarded to the
following vendors, for each of four (4) SAP service categories, as follows:

for three (3) years, with an option to renew for two (2) additional, one (1) year
terms.
BACKGROUND:
The City has made a significant investment in SAP systems which are used to run the
City’s Financials, Purchasing, Inventory, Property Tax & Utility Billing, e-Billing Portal,
and Business Intelligence applications. New and evolving business requirements will
necessitate enhancements to these applications over time, in order to ensure that the
system remains up-to-date and functional for the City. While much of this work will be
undertaken by in-house staff, the services of SAP Systems Integrator resources will be
required from time to time, to augment the City’s SAP support staff.

In keeping with industry standards, the City issued a Request for Proposal to develop
a roster of service providers who can provide those services as required from time to
time. Proponents were invited to respond to any or all of the following four SAP
categories:
- SAP Financial Accounting & Controlling / Materials Management (SAP FICO / MM)
- SAP Customer Relationship & Billing (SAP CR&B)
- SAP Multi-Channel Foundation for Utilities (SAP MCF)
- SAP Technical
The actual spend will depend on the level of activity throughout the term of the
contract as successful proponents will be invited to respond to requests for specific
work assignments as necessary.
REPORT:
This Proposal was advertised publicly on the City of Kitchener website and the Internet
through the Ontario Public Buyers Electronic Tendering Information System. Proposal
documents were downloaded by thirty two (32) interested parties and by the closing
date of Wednesday February 8, 2017, fifteen (15) proposals had been received.
The proposals were reviewed by A. Ahkoon, Manager SAP Business Solutions, C. Zinn,
Business Analyst, M. Bolger, Manager, Business Systems & Services, and S. Rudak,
Buyer, who concur with the above recommendation.

ALIGNMENT WITH CITY OF KITCHENER STRATEGIC PLAN:
The recommendation of this report supports the achievement of the city’s strategic
vision through the delivery of core service.
FINANCIAL IMPLICATIONS:
Up to $125,000 is allocated annually within the SAP capital account for SAP
professional services. This constitutes the annual upset limit for all engagements
undertaken through this SAP Professional Services Roster.
COMMUNITY ENGAGEMENT:
INFORM – This report has been posted to the City’s website with the agenda in
advance of the council / committee meeting.
