Ltd. Kitchener, Ontario, at their tendered price of $349,212., plus H.S.T. of $45,397.56, for a total of $394,609.56, for a five (5) year term, with an option to renew for one (1) additional five (5) year term. BACKGROUND: The current City Hall building has been occupied for 24 years. Upon initial construction, a traditional broadloom carpet had been selected and was installed across nine (9) floors. At the time, the custom pattern required a minimum quantity to be purchased and the City stored the excess carpet rolls for use within past renovations and repairs. This stock has now been depleted and the opportunity exists to integrate modular commercial carpet tile on future renovations and repairs. The advantages of using modular commercial carpet tile include: Generates less waste at installation and at end of life Made from a minimum 40% recycled products Ease of installation for large areas or spot repairs Less occupant disruption to install or replace Less carpet off-gassing (off-gassing - the evaporation of chemicals from a material) *** This information is available in accessible formats upon request. *** Please call 519-741-2345 or TTY 1-866-969-9994 for assistance. 1. ii. - 1 This tender seeks to establish a relationship with a carpet tile manufacturer and an approved installer to ensure availability of the selected product and price predictability over the course of a long term agreement. This tender is based on fixed unit prices for modular carpet requirements anticipated for the next five (5) year period based on historical replacement trends. The actual spend will depend on the level of activity throughout the term of the contract. REPORT: Tenders were advertised publicly on the City of Kitchener website and the Internet through the Ontario Public Buyers Electronic Tendering Information System. Documents were downloaded by nine (9) interested parties and by the closing date of Thursday January 26, 2017, nine (9) tenders had been received. Wigzell, Interim Manager Project Energy Management, R. Martinez, Project Coordinator and R. Scott, Buyer who concur with the above recommendation. ALIGNMENT WITH CITY OF KITCHENER STRATEGIC PLAN: The recommendation of this report supports the achievement of the city’s strategic vision through the delivery of core service.
