CALL TO ORDER The Regular Board Meeting of the Kitchener Public Library Board was called to order at 7:00 p.m. on Wednesday, April 19, 2017, by the Chair, Mr. Wayne Buchholtz, in the Administration Boardroom at Central. TRUSTEES PRESENT Mr. Tim Blundon, Mr. Wayne Buchholtz, Ms. Michelle Dow, Mr. Cory Ernst, Ms. Jessica Kropf, Ms. Jacqueline McLaren, Councillor Kelly Galloway- Sealock, Ms. Stephanie Soulis. Ms. Mary Chevreau, Secretary-Treasurer and Chief Executive Officer. STAFF PRESENT Ms. Lesa Balch, Ms. Penny-Lynn Fielding, Ms. Sabina Franzen, Ms. Gloria Grigas. REGRETS Ms. Katherine Andrews, Councillor Sarah Marsh, Ms. Erin Rudland. 2. AGENDA REVIEW No changes were made to the Agenda. 17-23 On motion by Ms. Stephanie Soulis and seconded by Ms. Jacqueline McLaren, it was RESOLVED that the Agenda be adopted. CARRIED There were no pecuniary / conflict of interest declarations. Kitchener Public Library Board 2 April 19, 2017 3. MINUTES of the Board Meeting of March 15, 2017. 17-24 On motion by Ms. Jacqueline McLaren and seconded by Ms. Jessica Kropf, it was RESOLVED that the Minutes of the Board Meeting of March 15, 2017, be approved. CARRIED 5. BUSINESS ARISING None. 6. 1. BUSINESS REPORT OF OFFICERS (a) Report of the Chair Updates Mr. Wayne Buchholtz noted that National Volunteer Week is celebrated during the week of April 23 to 29, 2017. Each Library Board Trustee and volunteer will receive a commemorative Heart of Volunteering pin in th anniversary. Kitchener Public Library has 250 volunteers year round in addition to several summer and KidsPark volunteers that are recruited. Library volunteers contributed 10,500 hours. \[Mr. Tim Blundon joined the meeting.\] The library will be partnering with the Princess Project again this year making free prom dresses, shoes and jewellery available for teens on May 2 and 3. Please let Gloria know if planning to attend the upcoming, Evening with Nino Ricci, on Thursday, May 11, at 7:30 pm. The Chair reminded the Library Board that the May 17, 2017, Library Board meeting will start at 7:30 pm and not 7:00 pm in the Administration Boardroom. Kitchener Public Library Board 3 April 19, 2017 (b) Facilities Planning & Building Committee Updates In the absence of Ms. Erin Rudland, Ms. Mary Chevreau reported that there were no updates at this time. (c) Finance Committee March 2017 Financial Statement 17-25 On motion by Ms. Michelle Dow and seconded by Ms. Stephanie Soulis, it was RESOLVED to accept the March 2017 Financial Statement, as printed. CARRIED 2016 Audited Financial Statements The 2016 Audited Financial Statements were reviewed by Ms. Michelle Dow, followed by a question and answer session. 17-26 On motion by Ms. Michelle Dow and seconded by Ms. Jacqueline McLaren, it was RESOLVED to accept the 2016 Audited Financial Statements, as printed. CARRIED (d) Public Service & Policy Committee Ms. Jacqueline McLaren reported that the Public Service & Policy Committee plans to have draft copies of the governance policies available at the May Board meeting for either final approval or further revisions. (e) Report of the Secretary-Treasurer and CEO Updates digital media strategy that will be used to social media presence to new audiences. The library has a large number of followers that currently use Facebook and Twitter. However, the millennial population tend not to use these platforms. Library staff are currently working with Him/Her Consultants to target this demographic. Instagram is now live and focused on building a millennial community through this platform. This user group will be invited to an influencer event on June 15 at Central. Kitchener Public Library Board 4 April 19, 2017 Snapchat and Medium will also be used to increase our social media presence. Ms. Mary Chevreau encouraged the Library Board to share our programs and images on their personal social media platforms. One Book One Communtiy (OBOC) Ms. Mary Chevreau reminded the Library Board that the OBOC launch will be hosted at The Jazz Room in Waterloo at 10:00 am on Thursday, April 27, 2017, at which time the book title will be revealed. 7. II. NEW BUSINESS None. 8. III. PRESENTATIONS (a) Report of Councillors Councillor Kelly Galloway-Sealock noted that Neighbours Day event is on Saturday, June 10. Local neighbourhoods are encouraged to offer fun activities and events that day. - Minute Makeover takes place Friday, April 21around 2 pm. Councillor Kelly Galloway-Sealock also noted that the majority of the LRT construction has now been completed in Kitchener. 9.
