MINUTES OF BOARD OF TRUSTEES MEETING FOR
KITCHENER PUBLIC LIBRARY BOARD
CALL TO ORDER
The Regular Board Meeting of the Kitchener Public Library Board was
called to order at 6:35 p.m. on Wednesday, December 13, 2017, by the
Chair, Mr. Wayne Buchholtz, in the Administration Boardroom at Central.
TRUSTEES PRESENT
Ms. Katherine Andrews, Mr. Wayne Buchholtz, Mr. Cory Ernst, Councillor
Sarah Marsh, Ms. ,Jacqueline McLaren, Ms. Erin Rudland, Ms. Stephanie
Soulis.
Ms. Mary Chevreau, Secretary -Treasurer and Chief Executive Officer.
STAFF PRESENT
Ms. Lesa Balch, Ms. Penny -Lynn Fielding, Ms. Sabina Franzen, Ms. Gloria
Grigas.
REGRETS
Mr. Tim Blundon, Ms. Michelle Dow, Councillor Kelly Galloway-Sealock,

2. AGENDA REVIEW
17-73... On motion by Ms. Stephanie Soulis and seconded by Ms. ,Jacqueline
McLaren, it was RESOLVED that the Agenda be adopted.
CARRIED
There were no pecuniary/ conflict of interest declarations.

3. MINUTES of the Board Meeting of October 18, 2017.
17-74... On motion by Ms. Stephanie Soulis and seconded by Ms. Katherine
Andrews, it was RESOLVED that the Minutes of the Board Meeting of
November 15, 2017, be approved.

5. 1. BUSINESS
REPORT OF OFFICERS
(a) Report of the Chair
Updates
Upcoming Events
Mr. Wayne Buchholtz notified the Library Board that a special media event
is planned in Studio Central on Monday, December 18 at 10:30 am to
announce a major donation towards the renovation expansion of the
studio space.
Ms. Stephanie Soulis, Mr. Wayne Buchholtz, Councillor Sarah Marsh, Ms.
Erin Rudland and Ms. Katherine Andrews confirmed that they will be
attending the event.
The Ontario Library Association (OLA) Boot Camp scheduled at the OLA
Super Conference on Saturday, February 3, 2018, will be attended by
Ms. Katherine Andrews and Ms. Stephanie Soulis.
The Chair reminded the Library Board members to notify Ms. Katherine
Andrews or Councillor Kelly Galloway-Sealock if wanting to run for Board
Chair or Chair of a standing committee. Elections for all positions will be
held at the January Board meeting.
Upcoming library closure dates include Sunday, December 24, Monday,
December 25, Tuesday, December 26, Wednesday, December 27, Sunday,
December 31 , and Monday, ,January 1, 2018.
The Chair referred to the 2018 Library Board meeting schedule provided
in the Board's package. No changes were made to the meeting dates and
times, as noted. The Board will be notified well in advance if some
branch visits are planned in 2018.

(b) Facilities Planning and Building Committee
Updates
Ms. Erin Rudland noted that the CEO and her staff continue to attend
meetings regarding the construction of the Doon Pioneer Park
Community Centre and its impact on the Pioneer Park Community Library.
A more formal update of both the Pioneer Park Community Library and
the new Southwest Community Library will be provided to the Board in
,January.
(c) Finance Committee
In the absence of the Finance Chair, Ms. Sabina Franzen presented the
November 2017 Financial Statement.

Andrews, it was RESOLVED to accept the November 2017 Financial
Statement, as printed.

(d) Public Service & Policy Committee
Updates
No updates were noted by the Chair, Ms. ,Jacqueline McLaren.
(e) Report of the Secretary -Treasurer and CEO
Updates
Capital Budget Meeting
Ms. Mary Chevreau presented Kitchener Public Library's 2018 Capital
Budget to City Council at its meeting on Monday, November 27. No
questions were asked by Council.
A short presentation made by Mary Chevreau at the Operating Budget
meeting on November 20 noted a significant increase in new library card
registration by 20%. Mr. Wayne Buchholtz commented how this
information generated several requests for interviews and some very
positive press from the Kitchener Post, CBC Kitchener, and a segment on
570news.
On behalf of Kitchener Public Library, Councillor Kelly Galloway-Sealock
requested that some of the additional funds from the growth assessment
surplus be directed to the library. Council will make a decision regarding
these funds on final budget day.

The CEO confirmed that she will be away from December 22 to ,January 7,
2018.
6. NEW BUSINESS
None.
7. PRESENTATIONS
(a) Report of Councillors
The City hosted the Christkindl Market this past weekend which was well
attended.
Councillor Sarah Marsh recently co -hosted the LGBTQ+ Art Nite at the
Grand River Stanley Park Community Library. Sarah commented how
impressed she was with staff and KPL's involvement with the Sheroes
program. The group would like to see more teen programming offered at
the branches.
The New Year's Levee is Sunday, ,January 7, 2018 from 1:30 to 4:30 pm at
which the Mayor's City Builder Awards will be announced.
Ms. Stephanie Soulis passed along a special thank you to library staff for
the wonderful Christmas party they hosted on December 1.

and seconded by Ms. Katherine Andrews, it was RESOLVED to adjourn the
meeting at 6:55 pm.
