Stephens-Wells, Chair Ms. L. Fioze, Ms. L. Trumperand Ms. M. Bowman Staff:K. Cooper, Manager, Strategic & Business Planning L. Korabo, Committee Administrator This meeting was held without a quorum in attendance. 1.END OF TERM CELEBRATION Ms. K. Cooper shared a brief presentation highlighting the achievements of the Committee over the past two-year term. The Committee’s work has included meeting withAdvisory Committee representatives,providing feedbackon special projects and direct involvement with the Strategic Planprocess. Mayor B. Vrbanovic and Dan Chapman, CAO, joined the meeting to extend thanks to the members of Compass Kitchener for their work over the 2019-2020 term. Mayor Vrbanovic thankedMs. J. Stephens-Wells for her leadership as Committee Chair and Ms. E. Duhaime for sittingas the Vice-Chair. Heacknowledged the contributions of all members, noting the valuable and unique role the committee plays in helping the city with the Strategic Plan by capturing the community’s priorities and evaluating the city’s progress in implementing the Plan. Mr.D.Chapman spoke to the positive working relationship the Committee has with many staff members as demonstrated by its support in clarifying staffrolesin the revised Committee Terms of Reference, collaborating with the Corporate Leadership Team in the engagement of advisory committees duringthe development stages of the Strategic Plan and then working with CLT members onthe development ofevaluation criteria for the Plan.Mr. Chapman extended his thanks to all Committeemembers for their commitmentand gift of their time. Ms. J. Stephens-Wells thanked the Mayor and CAO for their kinds words and commented on the personal fulfillment gained from participating as a member of this advisory committee. 2.‘PLANNING 101: AN INTRODUCTION TO CITY PLANNING’ Committee members had been provided a link to the video entitled ‘Planning 101: An Introduction to City Planning’ in advance of the meeting with a request to viewsame and attend themeeting to provide feedback and input.The video has been developed by City staff to share with the public to explain how the planning process works and how citizens can become involved. Due to light member attendance, it was agreedthat Committee members would be asked to email their input to Ms. K. Cooper, who would then share it with staff involved in the video’s development. General feedback received touched on the following areas: great idea to explain planning process; however, video is too long. Smaller components would be easier to digest consider sequencing modulesallowing citizens to watch in whatever order they choose or in the identified sequence would be good as an ‘in person’ presentation when possible, make it interactive 3D model was a great way to demonstrate concepts use more actual ‘Kitchener’ examples toexplain ideas (e.g. pictures of developments) sound quality needs to be more consistent In response to a question regarding timeline to launch, Ms. K. Cooper advised staff are targeting early 2021 to make this available to the public. COMPASS KITCHENER ADVISORY COMMITTEE MINUTES NOVEMBER 4, 2020-15-CITY OF KITCHENER 3.2021 BUSINESS PLAN TIMETABLE A chart outlining the timetable for the 2021 Business Plan process was shared for information. Ms. Cooper provided an overview of actions whichhave already occurred, noting the 2021 Business Plan will be largely the same as the 2020 version. All completed items have been removed, those still ongoing are being carried over and no new initiatives have been added. As fornext steps, staff have requested information on year-end project updatesfrom the departmental Managers of Service Co-ordination & Improvement. Once vetted, the project list and its accompanying analysis will be presented to CLT and then be brought to Council in December 2020. The approved 2020 year-end update as well as the approved2021 Business Plan will be available on the City’s website. In conclusion, Ms. Cooper advised that staff is hoping to prepare a video to showcase the year’s accomplishments. 4.OTHER BUSINESS The minutes of the October 7, 2020 meeting were circulated. Ms. J. Stephens-Wells thankedall Compass Kitchenermembersfor the work undertaken over the past term; and, forthe constructive views shared by members, the commitment of personal time and overall participation both inside and outside of scheduled meetings.On behalf of the Committee Ms. Stephens-Wellsalso extended a heartfeltthank you to Karen Cooper and Linda Korabo for all their work with Compass Kitchener over the past term, noting that both have been outstandingto work with. On behalf of staff, Ms. Cooper thanked the Committee for a wonderful experience in developing the Strategic Plan and for the collaborative spirit and supportive efforts of all members. 5.ADJOURNMENT The meeting adjourned at 5:05pm.
