Discussion Items
1. Introductions
Everyone was welcomed to the committee.
A brief background of how the committee works and the work completed from the previous committee
was shared. A roundtable of introductions took place.
2. Orientation
Pre-COVID new volunteer advisory committees would have received an in-person training session
with staff from the City Clerk's office to start their term. Due to the pandemic, all advisory committee
members are being asked to attend one of two virtual training sessions. It was noted that the Chair
and Vice Chair will be required to take an additional training session for their positions.
The training sessions will be provided through Zoom and committee members will be able to join the
training via a PC, Mac, iPad, iPhone, Android device or by phone.
Training sessions:
Thursday, February 11, 2021 from 1:00 p.m.- 2:00 p.m.
Thursday, February 11, 2021 from 6:00 p.m.- 7:00 p.m.
Training for the Chair and Vice Chair:
Thursday, February 11, 2021 from 7:00 p.m.- 8:00 p.m.

Action item: Details regarding the training sessions will be shared via email to the committee. The
next scheduled meeting for this committee will also be on the same day as training, Thursday
February 11, 2021 from 4:00 p.m.- 5:30 p.m.
Committee members who are unable to attend the training are asked to notify Janis. Recordings of
the training will be available to any committee members that cannot attend either of the meetings.
3. Chair/Vice Chair Elections
The committee members were asked if anyone wanted to submit their name for the position of Chair
or Vice Chair.
Alicia Monteith and Courtney Kidd Chubb submitted their names as candidates for Chair and Vice
Chair. Both candidates were given a short time to speak to their suitability for the positions and the
committee members were given the opportunity to ask questions.
A poll was launched using Zoom to elect the Chair, after the results of the poll were in Alicia Monteith
was declared the Chair.
Another call for candidates for Vice Chair was made, Courtney Kidd Chubb was the only person to
put their name forward and was acclaimed as the Vice Chair.
The newly elected Chair Alicia Monteith was asked to chair the balance of the meeting by Mark
Hildebrand.
4. Standing Agenda Items
• Mayor's Task Force on Equity, Diversity, & Inclusion Committee Update
LoriAnn Palubeski provided an update on the work currently being done by the Mayor's Task Force
on Equity, Diversity, & Inclusion. For the new committee members, committee representation on the
task force and the task force work was explained. It was noted that the Project Manager of the Task
Force will be invited to a future committee meeting and that projects may be brought to this
committee for engagement.
The work of the Task Force will be wrapping up in June 2021 . The new Equity and Diversity office
that is being created was explained, as well as a community-based funding program that they will be
overseeing. Strategies, initiatives and city processes that will be looked at within the diversity and
equity framework were noted.
Interest was expressed in learning more about the work of the subcommittees of the Task Force
and the possibility of committee members becoming involved in their work.
The committee asked that they continue to receive updates on the work of the Task Force.

• Inclusive Communities Grant
The outgoing committee made some changes to this grant program.
Budget details for the 2021 grant was shared and it was noted that the amount allocated for 2021
was reduced due to the pandemic. The rationale for the reduction was explained and it was noted
that the reduction will not be ongoing but only for 2021 and it is expected that in 2022 funding will
return to its previous level.
Action item: Staff will send the committee members the grant details and criteria, so they can
become familiar with the grant and its process. Included in the package will be information about past
grants awarded and the total amount of funding available for 2021.
Action item: Committee to review grant program and share ideas on how to reach out to the
community regarding the program.
• City Strategies and Plans
An overview was provided to the new committee members. Based on input from the previous
committee, City Strategies and Plans will be a standing agenda item this term. Staff will provide
updates on existing plans across the corporation and how they relate to this committee.
5. Other Business
Will this committee be developing a two-year plan mentioned in the Terms of Reference?
Action item: This discussion item to be included on the next meeting agenda.
Will the survey that is usually done at the beginning of the committee's term be done electronically?
Action item: Alicia, LoriAnn, and Mark will meet to set up survey electronically.
What role could this committee play during the pandemic and how is the city addressing people who
were disproportionality affected by the pandemic?
Action item: Follow up discussion on future agenda.

On motion, the meeting adjourned at 5:34 p.m.
