KITCHENER PUBLIC LIBRARY BOARD
1. CALL TO ORDER
The Regular Board Meeting of the Kitchener Public Library Board was called to
order at 6:30 p.m. on Wednesday, May 16, 2007, by Chair, Mr. Dan Carll, at the
Country Hills Community Library.
TRUSTEES PRESENT
Mr. Dan Carli, Ms. Beth Esenbergs, Mr. Mike Farwell, Councillor Kelly
Galloway, Ms. Lynn Gazzola, Mr. Leszek Jankowski, Ms. Sue Morgan, Mr. Peter
Sweeney, Councillor Berry Vrbanovic.
Ms. Sonia Lewis, Secretary-Treasurer and Chief Executive Officer.
STAFF PRESENT

TOUR OF THE COUNTRY HILLS COMMUNITY LIBRARY
On behalf of the Library Board, Mr. Carli thanked Ms. Jeannie Tilson for the tour
of the Country Hills Community Library.
2. AGENDA REVIEW
07-25... On motion by Ms. Beth Esenbergs and seconded by Ms. Sue Morgan, it was
RESOLVED that the Agenda be adopted.

3. MINUTES of the Board Meeting of April 18, 2007.
07-26... On motion by Ms. Sue Morgan and seconded by Mr. Mike Farwell, it was
RESOLVED that the Minutes of the Board Meeting of April 18, 2007, be adopted.

REPORT OF OFFICERS
(a) Report of the Chair
U dates
Mr. Carli thanked the KPL staff involved in the organization of the annual
Volunteer and Donor event hosted at the Pavilion on Tuesday, May 8, 2007. The
guest speaker, Laura Reed, KPL`s Coordinator of Children ~ Teen Services,
spoke of her involvement with the relief mission to Sri Lanka sponsored by the
Federation of Canadian Municipalities. (FCM}.
The Radio Frequency Identification (RFID) business case will be presented to
Finance ~ Corporate Services Committee on Monday, May 28. The Board will be
emailed the time as soon as the agenda is available from the City.
Handouts of the Power Point presentation from the audio conf erence with Dr.
Ken Haycock on Monday, May 14 were provided to the Board members who
were unable to attend the session. Questions should be f orwarded to the Chair
or Sonia Lewis.
On Monday, June 11, the Prosperity Council of Waterloo Region has invited
Board members to attend "Creative Intersections; A Call to Action ". Inf ormatlon
about the workshop is enclosed with the Board handouts. Please email Gloria
Grigas if wishing to attend.

Mr. Dan Carli requested f eedback of the Board Orientation topics which have
been presented from February to Mayas outlined in the handout provided.
Future Board Orientation topics were highlighted, along with a reminder that a
tour of the Forest Heights Community Library is scheduled f or October. Tours
of the Grand River Stanley Park and Pioneer Park Community Libraries are
planned f or 2008.
The Report of the Facilities Planning ~ Building Committee was delayed for
discussion of ter the Report of the Secretary-Treasurer and CEO.

RESOLVED to accept the April 2007 Financial Statements, as printed.

Introduction to Key Library Organizations
As part of the Board Orientation sessions, Sonia Lewis summarized the
information contained in the handouts, Key Library Organizations and Library
Services and Partnerships.
Introduction to Partnerships
Further opportunities for expanding KPL's partnerships were discussed.

U dates
The latest issue of In Touch highlights KPL's 2006 Annual Report. Separate
copies will be printed for distribution.
Enclosed in the documentation provided at the meeting is a handout regarding a
conference to be hosted by the Canadian Urban Libraries Council (CULC}. On
Thursday, October 11, 2007, municipal politicians and leaders, planning officials,
library directors, trustees and staf f are being invited to attend the session on
"Increasing Diversity in Canadian Cities: The Public Library Response." Board
members interested in attending should notify Sonia Lewis.

A date of October 3 has been proposed for the local Library Boards and
Committees to meet. This opportunity to network with f ellow colleagues
includes the Waterloo Public Library Board, Cambridge Public Library Board
and Waterloo Regional Library Committee.
Quarterly Incident Report ~1a~ -April 2007
No significant incidents were reported.
Other
The D.I.Y. column from The Record on May 5 (Google is not the hest place for health
search was displayed. KPL's Consumer Health Librarian, Trish Green, advises
using the library's HealthLink page which provides a list of great health sites
when searching for reliable health inf ormation online.

Central Library Project
07-28... On motion by Ms. Beth Esenbergs and seconded by Mr. Peter Sweeney, it was
RESOLVED that the meeting move in-camera with all staff present to discuss a
confidential property matter.

07-29... On motion by Councillor Vrbanovic and seconded by Ms. Sue Morgan, it was
RESOLVED that the in-camera session be concluded.
CARRIED
07-30... On motion by Councillor Vrbanovic and seconded by Ms. Esenbergs, it was
RESOLVED to undertake the action as discussed in-camera.
CARRIED
The Facilities Planning and Building Committee Report dated May 2007 was
provided with revised Operating Costs and an evaluation of the current Main
Library location as a library service delivery site.

A discussion as to what the next steps should be regarding the central library
project followed.
All Board members were encouraged to continue the discussion of the new
central library project by attending the upcoming Facilities Planning and
Building Committee meeting on Wednesday, June 6 at 8:00 a.m. in the KPL
Board room. Please email your input to Dan Carli or Sonia Lewis before the
meeting.

7. III. PRESENTATIONS
(a) Report of Councillors
Councillor Kelly Galloway noted that the Centre Block project will be on the
agenda f or the Monday, June 25 Council meeting.
The new Fire Station (Huron Road West) has been tendered. A full site analysis
will then follow which includes adding a proposed branch library, community
centre, pool and twin-pad arena in the plan.

07-31... There being no further business, on motion by Mr. Peter Sweeney, it was
RESOLVED to adjourn the meeting at 9:20 p.m.
