Subject: T08-073 -Printing of Your Kitchener Newsletter
RECOMMENDATION
That tender T08-073, Printing of Your Kitchener Newsletter, be awarded to Hebdo Litho Inc.,
Montreal, Quebec at their tendered price of $35,385., including G.S.T., with the option to renew
for two additional one-year terms.
BACKGROUND
The City of Kitchener requires printing of 68,000 copies of Your Kitchener Newsletter six times
per year. The newsletter is delivered to Kitchener homes and apartments (63,300 residences).
The purpose of the publication is to keep residents informed about City programs, services,
initiatives and projects
REPORT
Tenders were advertised publicly in The Record, on the City of Kitchener website and the
Internet through the Ontario Public Buyers Electronic Tendering Information System. Twenty-
one (21) potential bidders downloaded the tender documents, and by the closing date of
Thursday November 13t", 2008, six (6) tenders had been received.

The tenders were reviewed by T. Marr, Manager of Marketing and Creative Services, and J.
Straus, Buyer, who concur with the above recommendation.
FINANCIAL IMPLICATIONS
Funding will be provided from Operating Budget -Cost Centre #4009001, GL #640040
(Brochures). The proposed 2009 budget is $75,000.
* Any remaining budget will be used for the delivery of Your Kitchener Newsletter to households
six times a year and other corporate initiatives such as the State of the City speech, the City's
involvement in the Voluntary Blackout Day and informational brochures on City amenities like
Victoria Park and Kiwanis Park.
