1. CALL TO ORDER
MINUTES OF BOARD OF TRUSTEES
MEETING FOR
KITCHENER PUBLIC LIBRARY BOARD
The Regular Board Meeting of the Kitchener Public Library Board was called to
order at 7:05 p.m. on Wednesday, September 16, 2009, by Chair, Mr. Dan Carli, at
the Main Library.
TRUSTEES PRESENT
Mr. Dan Carli, Mr. David Erb, Ms. Beth Esenbergs, Councillor Kelly Galloway,
Ms. Lynn Gazzola, Ms. Bev Glenn-Graham, Mr. Bruce MacNeil.
Ms. Sonia Lewis, Secretary-Treasurer and Chief Executive Officer.

Ms. Lesa Balch, Ms. Sabina Franzen, Ms. Gloria Grigas.

2. AGENDA REVIEW
The agenda item, Country hills Community Library Public Art, was added
under New Business, at the request of Councillor Kelly Galloway.
09-46... On motion by Mr. Bruce MacNeil and seconded by Ms. Beth Esenbergs, it was
RESOLVED that the Agenda be adopted, as amended.

There were no pecuniary / conf lict of interest declarations.

On page 4 of the Minutes, under Events, the date in the second paragraph will be
amended to read Sunda September 27 in place of Saturda ,September 27.
On motion by Ms. Lynn Gazzola and seconded by Ms. Beth Esenbergs, it was
RESOLVED that the Minutes of the Board Meeting of August 19, 2009, be
adopted, as amended.

6. 1. BUSINESS
REPORT OF OFFICERS
(a) Report of the Chair
U dates
Mr. Dan Carli notified the Trustees of Mr. Brian Burnley's resignation f rom the
Library Board. The Chair thanked Mr. Burnley for his insight and commitment
during his past 6 years of service with the Kitchener Public Library Board.
The Chair also thanked Ms. Lynn Gazzola and Councillor Kelly Galloway for
attending last evening's One Book One Community event at which the author of
the Book of Ne robes, Lawrence Hill, spoke to a full audience in the Auditorium.
As part of the Library Board's advocacy of forts, Councillor Galloway updated
the audience regarding the central library project and value of libraries.
(b) Report of the Facilities Planning ~ Building Committee
The Report f rom the Facilities Planning & Building Committee was discussed
after the Presentation of the AODA Customer Service Standard.

August 2009 Financial Statements
09-48... On motion by Ms. Lynn Gazzola and seconded by Mr. Bruce MacNeil , it was
RESOLVED to accept the August 2009 Financial Statements, as printed.
CARRIED
Ms. Sonia Lewis updated the Board regarding two changes in dates. KPL's
Operating Budget will be discussed at the Finance ~ Corporate Services
Committee meeting on Monday, December 7, 2009, instead of December 14.
Final budget day at the City of Kitchener has been changed to Monday, January
18, in place of January 11, 2010.

Customer Service Standard
A Power Point presentation of the AODA Customer Service Standard was made
by Sabina Franzen and a handout provided to the Board at the meeting.
A customer service policy will be developed for approval by the Library Board.
Mr. Carli thanked Ms. Sabina Franzen for her presentation.
Report of the Facilities Planning & Building Committee
Central Librar~~ect
Sonia Lewis reviewed the schematic design of the Central Library. A question
and answer session followed.
The architects will present exterior renderings and an update at the October
Library Board meeting.
Public consultation to share inf ormation about the central library project is
planned during the week of November 2. The dates will be confirmed once
finalized. A booth at the Kitchener Farmer's Market on Saturday, November 7
from 7 am to 2 pm is also proposed and will be confirmed.
Painting and refreshing of the Forest Heights Community Library is planned
during the latter part of November or early December.

(d) Public Service ~ Policy Committee

Ms. Beth Esenbergs reviewed the August Public Service Report.
It was explained by Ms. Lesa Balch that monthly comparison statistics for the
online product usage figures will continue to be skewed until the end of the year
due to a change in the methodology of collecting these statistics.
(e) Fundraising Committee
Interviewing f or the position of a new development manager will get underway
this month.
(f) Report of the Secretary-Treasurer and CEO

Christmas Event
This year's annual staf f Christmas event takes on a new f ormat. Board Trustees,
Foundation Directors and KPL retirees are invited to join staff at a social event
with f ood, drinks and activities at the Main Library on Friday, November 27 at
approximately 6:30 p.m.

The One Book One Community event with author Lawrence Hill was so well
attended that approximately 100 people were turned away.
Word on the Street and launch of Let's Read, a f amily literacy event, is Sunday,
September 27 starting at 11:00 am at Victoria Park.
Three hundred Margaret Atwood tickets were distributed on Saturday,
September 12. The waiting line wrapped around the library with the f first person
arriving at 5:41 a.m. Margaret Atwood speaks at the Main Library on Saturday,
September 2b at 11:00 a.m.
Emails Distributed in Past Month
No questions were noted.
Quarterly Incident Report
A breakdown of the incidents at all KPL locations from May to August 2009 was
reported by Ms. Sonia Lewis. No serious incidents were noted.

7. II. NEW BUSINESS
Councillor Kelly Galloway was pleased to announce that the Public Art Group
had finalized its art selection for the Country Hills Community Library. A
handout of the art work by local artist, Jeff ersonCampbell-Cooper, was
circulated. The art consists of a series of six Douglas Fir panels with images
representing important geologic ages that have shaped the Waterloo area
landscape.
A geological clock will also be installed beside the existing clock in the library.
Final approval by City Council is scheduled f or Monday, October 5, 2009.
8. III. PRESENTATIONS
(a) Report of Councillors
Budget discussions are underway by City Council. Service level cuts by the City
are expected.
It is proposed that the curb-side leaf collection program for residents of Kitchener
be eliminated. Leaves will need to be bagged for pickup or taken to the leaf
dump sites instead.

by Ms. Beth Esenbergs, it was RESOLVED to adjourn the meeting at 8:25 p.m.
