HomeMy WebLinkAboutCompass Kit - 2009-06-03 COMPASS KITCHENER COMMITTEE MINUTES June 3, 2009 CITY OF KITCHENER The Compass Kitchener Committee met on this date, commencing at 4:30 p.m. Present: Theron Kramer, Laura Lee Dam, Corey Badcock, Norm Damaren. Kim Knowles, Jasminka Klacar Staff: Shelley Adams, Jenn Grein, Andrea McArthur Regrets: Julia Browne, Corinne Cash, Sarah Marsh. Theron welcomed all members to the meeting. 1. Review of May Minutes ? no changes 2. Terms of Reference ? The committee reviewed the updated Terms of Reference. Additional updates/changes will be incorporated as discussed. Action: Shelley to update Terms of Reference with changes discussed. ? 3. Report Card Update ? Andrea joined the committee to provide an update on the Report Card. ? Main change received at Corporate Management Team (CMT)was to remove Effective and Efficient Government since it is not currently truly being measured as the other areas are. If, in the future, areas are developed for measurement under Effective and Efficient Government, CMT may reconsider. ? The process used for the Report Card is being considered, and will potentially grow to be more effective and efficient for 2010. This will also be a good time to relook and consider changes to indicators. ? Staff are currently working on clarification surrounding when the next survey will take place and ensuring it is clearly communicated to residents. ? The PowerPoint Presentation used last year with Council was revised and sent out to the working group this week. It will be presented at televised Council June 15. Theron and Sarah to present. 4. Diversity ? Shelley provided an update on the Diversity Strategy. We have been asked by Corporate Management to move this item to a Council meeting in September due to the quantity of items that must go before Council prior to break. ? Mini Kitchener will be launched to staff in June, with a goal to complete the workforce census in September. ? Thus far, the draft Diversity Strategy has been brought before 3 Advisory committees and each have provided good feedback! It will reach more committees over the summer and will return to Compass Kitchener in September. June 3, 2009 CITY OF KITCHENER - 2 - 5. Cost Savings for End of Term Survey ? The Environics Survey that was completed a few years ago was costly, however provided us with a very large amount of data including the values piece. ? This year the city is working with a tight budget due to several factors. As a result we are considering opportunities that may save budget. ? Work on the survey will need to begin in September in order for results to be returned and analyzed in December for a Who Are You, Kitchener? sequel beginning 2010. ? If we continue to work with Environics, we would have the option to benchmark by using exactly the same survey. Alternatively, we may decide to remove the values piece with Environics, add additional questions, or use a different company completely…many options are available. ? Feedback from Corporate Communications and Marketing suggests that the credibility of Environics was considered very valuable. Working with Environics again would allow for a seamless flow with valid information received from the survey and results from residents easily compared and analyzed with the previous survey. ? Many other companies and options are available, however we are unable to share information previously gathered with any other company due to ownership of information and other legalities. ? Through additional discussion, the committee agreed to consider all avenues and search for additional companies that would offer a similar service by putting out a Request for Proposal (RFP). ? Theron, Norm, Corey and Kim will work together and assist in review of the RFP responses along with Shelley, Carla Ladd, CAO, and Michael May, Corporate Communications and Marketing. Action: RPF Process to proceed. Theron, Norm, Corey and Kim to work together with staff. ? 6. July & August Meetings ? Summer tends to be difficult time for meetings due to vacation and other commitments, and the sunshine of course. Approximately 6 other committees do not meet over July and August unless absolutely necessary as mandated by their terms of reference, Heritage due to legislative restictions if necessary. GRAAC, and KYAC. How would Compass Kitchener like to proceed? ? August meeting seems to make sense due to the new RFP process that will be taking place – if everything is lined up by then. There is concern that if left, September will be a very heavy meeting. thth ? We will aim to meet Wednesday August 12, if not would 5 be the alternative. Action: Jenn to send out e-mail for members preference on dates and advise group once decided. ? 7. General Business ? Committee meetings will be relocating to the Conestoga Room for better use of equipment and access. Meeting adjourned at 6:00.
