SUBJECT: REVISED 2010 COUNCIL & STANDING COMMITTEE
SCHEDULE
RECOMMENDATION:
That Option ,attached to Corporate Services Department Report CRPS-09-153 dated
December 8, 2009, be approved as the revised 2010 schedule of Council and Standing
Committee meetings.
BACKGROUND:
On August 24, 2009, Council adopted a schedule for the 2010 Council and Standing Committee
meetings. In October 2009, the Provincial Government introduce Bill 212 that, amongst other
things, would amend the Municipal Elections Act resulting in Election Day being moved from
November 8t" to October 25t". On December 3, 2009, Bill 212 received 3rd reading in the
legislature and although at this time it has not received royal assent, it is anticipated this will
happen prior to December 31, 2009.
REPORT:
Since 2008, the number of committee/council meetings has been 15 and the schedule generally
follows the Region's 3-week schedule with an off week occurring every 3 weeks. The meeting
scheduled adopted by Council in August followed this criteria very closely however, with the
changes to Election Day, the meeting schedule needs to be revised and there are only limited
choices that can be made. It should be noted that although Election Day is now October 25t" (for
2010 elections), the term of office for Council remains at 4 years commencing December 1St
For this reason, inauguration of council cannot be moved from the currently adopted date of
December 6t"
Attached for Council's consideration are 2 proposed schedules noted as Options 1 and 2. Each
schedule maintains the previously adopted meeting dates from January to July, making
changes only in the last half of the year except for December. Both options also proposed that
the last meeting to take place prior to Election Day will be October 4t". This will allow a 2 week
period during which advance voting will take place. Also, both proposals provide a two week
break following the last meeting of the current council. This will allow time to prepare for the new

council as well as holding a meeting of the Striking Committee to make the 2011 appointments
to Boards and Committees; a report in this regard will be brought to Council in 2010.

Maintains 15 meetings by moving up the meeting dates originally scheduled in August to
November. This will result in 7 meetings being held without a break, including a Tuesday
meeting the day after Labour Day.
0 tion 2:
Eliminates 1 cycle of meetings resulting in the total number of meetings for the year to 14 but
allows for a break the week of Labour Day.

COMMUNICATIONS:
The approved revised schedule will be sent to Roger's Cable for the televised Council meeting
dates. The schedule will be posted on-line in the corporate calendar and will appear in Your
Kitchener.
