Staff advises ACAC to report to community in September 2010 at City Hall (Rotunda), in

CPII was intended to be implemented from 2005/2010

Explore ACAC’s role

ACAC Terms of Reference specifies that we include a youth member (defined as 18-30) when

future appointments are made

Three streams of youth each have different needs and require discrete strategies:

Senior Public/High School Students
o
Post Secondary Students
o
Youth not in school
o
Question: how to market to youth?
?
School boards are difficult to communicate with (need liaisons)
?
Online presence/social networking/Facebook/Twitter all important components; youth
?
relate to digital technology
Strategies need to keep with the times/interests of youth; youth are a capricious group
?
May be part of a broader Community Arts Marketing Plan
?
ACTION: Staff to put this item on December 2009 agenda, too few members in attendance
today for full discussion, consider attendance at KYAC meeting at December ACAC meeting
5.0A) Shared Goals with DAC and EDAC (Compass Kitchener)
On a motion made by Julie Robbescheuten, seconded by Alison Burkett
“That staff coordinate/invite ECAC and DAC representatives to January 2009 ACAC
meeting.”
Discussion:
DAC/EDAC Terms of Reference still outstanding
o
Positive that ACAC has a DAC rep (Peter Hammond) reporting on DAC activities; could
o
this relationship go both ways? (Peter report to DAC on ACAC activities?)
Both DAC and EDAC have an interest in arts and culture as a means of meeting their
o
goals
In particular, DAC’s goal of increasing vitality downtown, and EDAC’s goals regarding
o
culture cluster and talent attraction
Dialogue between committees prevents overlap of efforts
o
ACAC wants to ask EDAC what is the definition of ‘culture cluster’; it should
o
encompass more than just ‘civic centre’
ACAC wants to ask DAC what is meant by ‘vitality’; and to clarify definition of
o
‘downtown’ (should encompass more than just King Street); need a map of
interesting sites
Our shared concerns with DAC and EDAC also involve the need for a broader
o
Community Arts Marketing Plan
ACTION: Staff to coordinate EDAC/DAC representatives attending January ACAC meeting to
explore options to collaborate
B) Downtown Advisory Committee Report: Peter Hammond
Two key areas are currently under DAC’s consideration:
Strategic Plan (5 year)

4 themes identified: more residential (incentives, high quality design,
o
technology); more retail (engage business owners, create a better business mix,
create a destination, address issues of perception of safety); more vitality
(attract talent, foster a healthy community, develop capacity for events, attract
restaurants); more infrastructure (downtown streetscape, technology, civic
district)
Themes must be approved by Council
o
Residents may be surveyed on their desires for the downtown
o
Civic District

6.0Subcommittee on Arts/Media leaders Roundtable: Tracy Smith/Staff
Subcommittee met with Susan Cudahy (Waterloo Region Tourism and Marketing Corporation
?
(WRTMC)), and staff (Cheryl York, Ingrid Pregel) to understand how ACAC's arts/media
'roundtable' initiative and WRTMC's audience development program might interrelate; and
how these two groups might collaborate
Susan offered to invite media representatives from The Record (newspaper), local radio and
?
television stations to a 'pre meeting' with the ACAC media roundtable subcommittee. These
media representatives will have the capacity to comment on both advertising and editorial
content issues.
Objectives of 'pre meeting':
?
Discover best practices for communicating arts news to local media outlets
o
Explore possibility of an education session for artists/arts groups where media
o
representative(s) would present information about how to best communicate with the
media, and WRTMC would explain what it offers arts groups in terms of advertising
opportunities
ACAC subcommittee to prepare questions for the media attendees for circulation prior to
?
the 'pre meeting'
Pre meeting date/time to be determined; but will take place in late January, 2010
?
Media Handbook Project (CulturePlan II recommendation # 40) is currently in the hands of
?
Special Events unit; meant to be a resource of contacts, scope was expanded, and project
put on hold. Staff will revisit in the coming weeks.
Arts insert in KW Record: (CulturePlan II recommendation # 43). Waterloo Chronicle did a
?
similar insert. Staff pursuing with the Record.
Could potentially require list of arts organizations, leads on stories
o
Record would sell advertising space
o
WRTMC could advertise in it
o
7.0Mapping Project as vehicle for creation of Community Arts Marketing Plan: Staff
Mapping Steering Committee met on Monday, November 16. Representatives of cities of

Waterloo, Kitchener, Cambridge and the Region in attendance.

Information gathering on facilities covered under the pilot project to be collected by mid

Joint meeting of arts and culture advisory committees to be held in 2010 to update
